Hazard reporting that fits subcontractors on shared sites
Short answer
On a shared site your crew works under someone else’s rules and still wants a record of what it reported. Haznote lets subcontractor workers join a site through its QR code, report by voice and photo from their own phones, and keep a timestamped record. Workers are free to every firm.

The shared-site problem
A subcontractor’s crew spends the day inside another firm’s site rules. Your crew sees a hazard. Who do they tell? If it’s a word to the site manager, there’s no record that you raised it. If something happens later, you want to show what your people said and when.
What regulators say about who is covered
Regulators are clear that a notifiable incident isn’t limited to a firm’s own employees. The row below is NT WorkSafe’s wording. It’s a reminder that on someone else’s site, your people are inside the picture too, whoever employs them.
How it works for a subbie crew
- Crew members join through the site’s QR code, or a manager invites them
- They report by voice and photo from their own phones
- The report is time-stamped and located, even when it is sent later
- Workers are free and never counted in anyone’s price
The principal contractor’s managers see the reports for their site. The Team plan includes subcontractor management, for managers who need to track which firms are on a site. Worth raising with the principal contractor’s office. Your crew don’t need an app store; the app opens from the site link.
What it will not do
Haznote doesn’t manage your insurance certificates or your SWMS. It’s a hazard and incident reporting record. If you need a document system, keep that alongside it, and ask the principal contractor what they already hold for your crew.
What regulators say that matters here

Plain answers.
Do my workers need to be on the principal contractor’s plan?
Workers are never priced. A manager invites them, or they join through the site QR code.
Can I see my crew’s reports?
That depends on the manager who runs the site and the access they set. Ask them what you can see.
Does it handle insurance certificates?
No. Haznote is for hazard and incident reports, not a document register.
